What is freelancer utilisation?

Freelancer utilisation is the percentage of your available working hours that you actually invoice. Divide billable hours by available hours and multiply by 100 — for example 28 billable out of 40 available is 70%. Available time should include the hours you meant to work in the period, not a theoretical 24/7 calendar; unpaid admin, sales and learning usually sit in the non-billable remainder. If you also enter a desired income for that same period, the calculator reverse-engineers a target hourly rate as income ÷ (available × utilisation as a fraction), so a lower utilisation correctly pushes the required rate up. Use it monthly or quarterly to spot drift before cash gets tight. Pair rate planning with the freelancer minimum rate and billable hours tools when you are setting retainers or day rates.

Worked example

28 billable ÷ 40 available = 70% utilisation. Desired income £3,200 → target rate ≈ 3200 ÷ (40 × 0.70) ≈ £114.29/h.

Limits and assumptions

Does not deduct tax, VAT or pension. “Available” is whatever window you define — be consistent week to week.

Frequently asked questions

What does utilisation mean?

Utilisation (sometimes called utilization) is the share of your available hours that are billable to clients. 70% utilisation means seven out of every ten available hours are invoiced; the rest is typically admin, sales, learning or downtime.

Should holidays count as available?

Only if you want utilisation to reflect a holiday-inclusive capacity plan. Many freelancers exclude planned leave from available hours so the percentage stays comparable.

Why does lower utilisation raise the target rate?

The same income must be earned from fewer billable hours, so each billed hour needs to be priced higher.

Is 100% utilisation realistic?

Rarely — non-billable work is normal. Sustainable targets often sit well below 100% depending on sales load and admin.
